Terms of Service

Acceptance of Terms

By creating an account or using Reconcify, you agree to these Terms of Service. If you are using Reconcify on behalf of an organization, you represent that you have the authority to bind that organization to these terms. If you do not agree, please do not use the service.

Reconcify is operated by Future Technologies SARL-S (operating as Reconcify), a company registered in Luxembourg with the following details:

Description of Service

Reconcify is an AI-powered platform that automates invoice data extraction and reconciliation with bank statements. The service uses AI providers including Mistral AI for EU-compliant document processing and can output results to Google Sheets or downloadable spreadsheets. Reconcify is a productivity tool and does not provide financial, tax, or legal advice.

Account Responsibilities

  • You must provide accurate information when creating your account.
  • You are responsible for maintaining the security of your login credentials.
  • You must notify us immediately of any unauthorized use of your account.
  • One account per individual user; accounts may not be shared.
  • Multi-Factor Authentication (MFA) is available and recommended for enhanced account security. You can enable MFA in your account settings.

Acceptable Use

You agree not to:

  • Upload documents that you do not have the legal right to process.
  • Use the service for any unlawful purpose or to process fraudulent documents.
  • Attempt to reverse-engineer, decompile, or extract source code from the service.
  • Interfere with or disrupt the service or its infrastructure.
  • Exceed reasonable usage limits or abuse the platform resources.

Data Processing

Documents you upload are processed by AI models to extract structured data. We act as a data processor on behalf of your organization (the data controller).

The Data Processing Agreement (DPA) governing our obligations as data processor is available at /legal/dpa and is incorporated into these Terms by reference.

Intellectual Property

Reconcify and its underlying technology, design, and branding are owned by Future Technologies SARL-S (operating as Reconcify). You retain full ownership of all documents you upload and data extracted from them. We do not claim any rights over your content.

Trial and Subscription

  • New accounts receive a 14-day free trial with up to €30 in AI processing credits.
  • The trial ends when either the 14 days expire or the credits are exhausted, whichever comes first.
  • No credit card is required to start a trial.
  • After the trial, a paid subscription is required to continue processing documents.
  • Subscription terms and pricing are communicated during the upgrade process.

Limitation of Liability

The service is provided “as is” without warranties of any kind, express or implied. Reconcify is a productivity tool. Extraction results should always be reviewed by qualified personnel before use in accounting or tax filings. We are not liable for any indirect, incidental, or consequential damages arising from your use of the service. Our total liability shall not exceed the fees paid by you in the 12 months preceding the claim.

Termination and Account Deletion

Either party may terminate this agreement at any time. You can delete your account via Settings > Danger Zone > “Delete My Account” or by contacting us.

Upon account deletion:

  • Your user profile, login credentials, and Google connections are permanently removed.
  • Processing results linked to your jobs are deleted (GDPR Art. 17).
  • Uploaded files are soft-deleted and purged within 90 days.
  • Processing job metadata is retained with your identity removed (submitted_by set to null) for organizational reporting.
  • Audit logs are retained for 12 months as required by applicable law.
  • A confirmation email is sent to your registered email address.

Governing Law

These terms are governed by the laws of Luxembourg. Any disputes shall be subject to the exclusive jurisdiction of the courts of Luxembourg City. For customers domiciled in the European Union, mandatory consumer protection provisions of the customer's country of residence shall apply.

Data Portability

You may export your personal data at any time via Settings > “Export My Data”. The export includes account information, processing job metadata, file metadata, and usage records in structured, machine-readable JSON format in compliance with GDPR Art. 20 (Right to Data Portability). Exports are limited to once per hour.

Changes to These Terms

We may update these terms from time to time. For material changes, we will notify you via the email address associated with your account at least 14 days before the changes take effect. Continued use of the service after changes constitutes acceptance of the revised terms.
